About Taste the Countryside Waterloo Region

Taste the Countryside WR is a premier annual event celebrating local food, farms, and culinary experiences throughout the Wellington-Waterloo Region. The event connects local chefs, restaurants, and farmers with the community to create unforgettable dining experiences that showcase the region's agricultural and culinary richness.

Position Overview

The Event Coordinator will play a key role in organizing and executing the Taste the Countryside WR annual event. This position requires a highly organized, detail-oriented, and creative professional who is passionate about local food, community engagement, and event planning. The coordinator will ensure smooth planning and delivery of all event activities, liaising with stakeholders, managing logistics, and promoting an exceptional experience for participants and attendees.

Key Responsibilities

Event Planning and Coordination

  • Develop and maintain a detailed event plan and timeline.

  • Coordinate event logistics, including venue coordination, catering, vendor participation, permits, and insurance.

  • Serve as the primary point of contact for participating restaurants, farms, sponsors, and other partners.

  • Recruit and manage volunteers to assist with event delivery.

Stakeholder Engagement

  • Build relationships with local farmers, chefs, food producers, sponsors, and community organizations to foster collaboration.

  • Coordinate regular check-ins and updates with event stakeholders to ensure seamless communication.

Marketing and Promotion

  • Assist with the development of event promotional materials, social media campaigns, and public relations initiatives.

  • Ensure consistent branding and messaging across all promotional platforms.

  • Collaborate with marketing leads to highlight participating businesses and create excitement leading up to the event.

On-Site Event Management

  • Oversee day-of logistics, including set-up, signage, registration, and attendee support.

  • Troubleshoot and resolve issues quickly and efficiently.

  • Manage volunteer coordination and ensure smooth operations during the event.

Post-Event Responsibilities

  • Gather participant and attendee feedback to measure event success.

  • Provide a final report summarizing event outcomes, attendance, feedback, and recommendations for future improvements.

  • Assist with sponsor acknowledgments and post-event communications.

WWCF Administrative Responsibilities

·         Provide front-line support at WWCF's office: answering phone and door inquiries professionally and courteously

·         Support WWCF's social media and marketing activities outside of event-specific promotions

·         Assist with internal administrative tasks and communications as needed

·         Participate in weekly check-ins and maintain task tracking for both Taste the Countryside and WWCF duties

Qualifications and Skills

·         Proven experience in event planning, coordination, or project management.

·         Strong organizational and time management skills with the ability to juggle multiple priorities.

·         Excellent written and verbal communication skills.

·         Passion for food, agriculture, and community engagement.

·         Ability to work independently and collaboratively with diverse stakeholders.

·         Proficiency in Microsoft Office, Google Workspace, and event management tools.

·         Experience with social media management and marketing tools is an asset.

·         Flexibility to work evenings and weekends as needed during the event period.

·         Valid Drivers License and access to a vehicle

Contract Details

  • Duration: 8 weeks, June- August 2025

  • Hours: Full-time, 35hours/week

  • Compensation: Competitive contract rate based on experience
